7 tips to avoid an ICD-10 operations bottleneck

Ready or not, ICD-10 is coming. On Oct. 1, 2015, the healthcare industry will — barring any unforeseen circumstances — transition to using ICD-10 codes for billing and services.

With the entire industry shifting to the new codes on the same date, there is concern of operational bottlenecks or glitches that may slow down processes.

Here are seven tips to avoid an ICD-10 operational bottleneck and keep operations moving as fluidly as possible, presented by ICD-10 Monitor.

1. Anticipate delays. Since some healthcare organizations have yet to test ICD-10 codes and conduct a pilot run of workflows, being aware of and working to sidestep any delays proactively can help an organization during implementation.

2. Integrate ICD-10 gradually. Instead of going live on new software and codes all at once, do so department by department.

3. Send most accurate claims first. Staggering claims — sending the most complete and accurate ones that are less likely to be rejected first — can reduce data clutter as they are exchanged.

4. Make sure you are able to submit ICD-10 codes. "This is going to be the most basic yet the most critical functionality requirement," according to the report. If you can't submit the claims then you won't be paid.

5. Make sure coders are prepared. Not only should organizations ensure coders are proficient, but they should consider offering refresher training prior to the implementation date.

6. Establish a command center. The center should be supported by clinicians, health information management leaders and operations leaders to oversee the implementation and act as a resource and first line of defense for the organization.

7. In case of delays, have six months of operating funds available. ICD-10 Monitor suggests having at least six months of operating funds available — "cash in the bank that can be accessed anytime or assets that can be liquidated in days" — in the event of any reimbursement delays.
